With HROffice, MHA Insurance Ensures Happy Employees

Since 1976, MHA Insurance Company (MHAIC) has demonstrated its ability to meet the needs of its physician and hospital clients by providing innovative products and superior service. As part of its commitment to its internal customers, the company’s human resources department seeks to provide this same level of service.

For several years MHAIC’s HR department had been using a human resources management system (HRMS) which did not generate reports and required manual entry for a number of tasks. This according to Kathy Dayton, HR assistant, "defeated the purpose of having an HR system. I still had to manually calculate and plug in formulas in an Excel spreadsheet to generate a variety of reports ranging from employee leave to benefits reports. I spent a majority of my time performing manual, paper-based tasks, making it even more difficult to do our jobs efficiently as we grew from 45 employees in 1999 to 94 employees today."

Recognizing that it was time for a new HR system, Dayton researched the products available and discovered HROffice, an HR management system from Ascentis Corporation. HROffice automates all HR and benefits management workflow processes to enable HR departments to improve management of employee compensation and benefits ranging from personal data, to OSHA compliance, and more. It allows users to generate information within minutes – not days.

Since implementing HROffice in 2000, Dayton says the system has not only saved her and the department hundreds of hours, but has eliminated the need to hire an additional staff person - saving the company as much as $60,000 annually. Dayton states that, "While we could still use at least one more staff person, HROffice is still saving us the work of an additional full time employee."

Dayton previously spent hundreds of hours every year responding to employee inquiries about everything from vacation time to benefits related questions. Thanks to HROffice Employee Self-Service, employees now have online and immediate access to their own personnel data – eliminating these questions.

Dayton says "Employees love the online leave request feature. It’s easy for them and me to use and makes us all more accountable for our leave. From an administrative perspective, this feature saves me two hours every payroll cycle. And I can quickly and easily generate a report on past, current, or future dates. There’s no paper trail to track down which takes the frustration out of leave management."

Dayton concludes, "HROffice gives us the ability to deliver exceptional customer service to our internal customers, our employees. We wouldn’t be able to deliver this type of service without HROffice. The HR software is critical to our company growth and corporate culture."
