Hello,
I am creating a handbook for a company that has different benefits (PTO, insurance, etc) for exempt and non-exempt employees. Our company is about 50/50 between the two. This is also the first time the company has had formalized, public policies.
Do any of you have advice on policy creation and/or any issues that may arise from employees viewing the differing benefits?
We are a small tech-focused company in California.
Thank you,
Mel

Your carriers presumably provide booklets for participants...I would just say in the handbook that benefits ARE provided for employees and that they should refer to their booklets for detailed information.

I don't have benefit details in our company handbook at all since they tend to change every year and possibly could be different based on groups like you have.
I put out a benefits communication each year that details the benefits available based on group.
That could address most of your issues I think. Then in the handbook have a section that states benefits based upon group will be communicated separately each year. This also allows for quicker changes.
Another option would be to have two handbooks. But it is a pain to maintain both.

We have the same issue for non-insurance benefits and maintain a separate handbook for each group for policies and benefits. It is not difficult to maintain as you usually don't have many changes.

In consulting my clients on the subject, I advise them to exclude any language from their Employee Handbook that speaks specifically to benefits descriptions. Instead, we provide customized Benefit Summary booklets along with Benefit Statements for each class - i.e. exempt vs non-exempt - when the benefits (insurance and non-insurance) are different. Normally, I advise to reserve the handbook for employment practice policies and the like that are commonly shared by and applicable to all employees. Lastly, all of my clients (fully-insured and self-insured) regardless of size have the ERISA required Summary Plan Description (SPD) which we use to define eligibilty guidelines and other rights.
