PTO Donation Policies

I am creating a PTO Donation Policy and I wanted to know if anyone had a similar policy that I could look at to make sure I are not missing any important information.

Here's a policy in use.
Donating Paid Time Off Hours One of our company values is We care about each other. Employees can put that value into action with the PTO donation program. If a fellow employee is requiring time away from work, to address their own serious medical situation or that of a spouse, domestic partner or dependent, and has exhausted or is close to exhausting his/her paid time off (and isnt eligible for other paid time off benefits), an employee may voluntarily donate between eight and 40 PTO hours using the PTO Donation Form. Eligible recipients may receive up to 160 donated hours in a calendar year. For more information see the Donating Paid Time Off Policy (below). Our policy is to permit and facilitate employees request to voluntarily donate their available earned PTO hours to an eligible employee who may benefit from additional paid time off. There may be two ways to donate your available earned PTO: 1. You can donate to a co-worker to address their own or a family members medical emergency. A medical emergency is a medical condition of the employee, a family member or domestic partner that will require the prolonged absence of the employee from duty and will result in a substantial loss of income to the employee because the employee will have exhausted all paid leave available apart from this program. 2. You can donate, when this program is offered, for a specific event to co-workers who live in an area the President has declared a major disaster. When the President has declared a major disaster, We will establish a period of time, based on the severity of the disaster, during which leave may be donated and used. After that period of time has passed, any donated leave which remains unused will be returned pro-rata to donors based on the amount of time donated by each donor in relationship to the total amount of hours donated. Recipient Employee Criteria Exhausted or will soon exhaust PTO hours, and is not eligible for other paid time off benefits e.g. STD Maximum bucket of donated hours that may be received - 160 hours (20 days) Allotments are loaded in increments of a maximum of 40 hours Once exhausted additional allotments of up to 40 hours may processed up to the total of 160 hours. Recipient must send a written request describing the medical emergency to ptodonation@ Donor Employee May donate minimum of 8 earned hours up to a maximum of 40 earned hours including carry over hours (carry over hours must be used by the recipient by December 31) Process Management reviews for eligibility of the employee to receive donated hours (see above policy statement) Management ensures no solicitation e-mails are issued to employee populations To donate to a co-worker to address their own serious medical emergency or that of a family member complete the online PTO Donation Form (** Donors names are not disclosed to the recipient**) When donating PTO for the benefit of co-workers who live in an area the President has declared a major disaster, Hurricane Ike the donor completes the PTO Donation Form - Disaster. If you live in an area that the President has declared a major disaster and have or are about to exhaust your PTO fill out the PTO Donation Request Form - Disaster. The hours are deleted from donors earned PTO bucket and added to the recipients PTO bucket of hours and paid at the recipents current rate of pay. This transaction will be completed with the submission of the online donation form. Recipients management is made aware of the transaction through the online form. With respect to hours donated for a Presidentially declared disaster, all donated hours are deposited in a bank and allocated to eligible employees. |
