I recently was hired for ALL HR/security/HAZCOM-OSHA operations for a small company. The only problem I've faced is the employee filing system. I have it categorized the following way:

1. Confidential - ADA, FMLA, Garnishements, Drug Testing, past salary info, copy of SSN card (for payroll W-2 verification)
2. General- Application, current salary info, non-disclosure, write-ups/brown-nose awards.
3. Benefits - stock options, enrollment forms.

I use 3 individual folders for each topic and then put them in a hanging file folder. I was wondering if I was doing this correctly. Your input is appreciated.

Sounds good...just make sure ALL medical info. is in a separate folder. Also make sure I9 forms are in a separate binder.

I have found it best to put all medical related information in a separate file and put the I-9's in a 3 ring binder for ease of access and the "audit" should it ever happen. I use a 6 part file personally. 1st part is all general employment information such as acknowledgment of employee handbook, any special employee contracts, agreements, etc. Part 2 is employment information; application, resume, recommendation for hire, follow up letters, job offer letter, etc. Part 3 is all of the insurance and payroll information, tax and enrollment forms, this would include the stock options, 401K, etc. Part 4 is discipline history and brown nose awards as you call them. Part 5 is all training certificates and certifications. Part 6 is performance evaluations. Works great for me and anyone can find the information they need since it is in the same order.
