Is there a good format for rejection letters when people send cold letters looking for a job? What is a good way to tell them you there are no positions available at the moment and we will not keep their resumes on file?

Although it seems silly, and I'm not sure how P.C. it is, but I don't acknowledge unsolicited letters or resumes. Nor do I keep them.

We have a simple form letter that is sent, acknowledging receipt of the resume and advising the applicant that we will review it, see if we have any positions available that would be appropriate and will contact them it we determine there is a match. In other words, thanks...but don't call us, we'll call you.

To our knowledge, there is no legal obligation to respond to unsolicited resumes. Keep in mind that your response to unsolicited resumes may impact on any affirmative action plan statistics that you are required to keep or who you consider to be an "applicant" for employment. Thus, if you say "thanks for the resume" and "we'll check your resume against our available positions" you might be saying that you have considered the applicant for a position. (I am stretching here to make a point, I admit it!) The best policy is always the truth. Do not say that you will keep the resume on file (i.e. the "circular file") or that you'll review it unless you mean it.
