My stomach is killing me with the drama that goes on here. A few months ago, a marketing employee had out travel person book a hotel for something like 15 rooms. the travel person did the booking without getting approval, nor anything in writing from the marketing person. Fast forward to now, the marketing person was let go for other reasons, the owner of the company now wants to put the charge for the rooms in disupute because he didn't authorize that many rooms. Since the marketing person is gone, that means if the company pursues the dispute, they will got after the travel person. Will the travel person be held responsible for the additional charges for rooms that weren't authorized? She has been doing the travel for years for the company, I don't know much at all about the procedures that should be followed regarding travel, but, the HR director said that she should have gotten written approval either by the marketing dept or approval by the HR director or the owner. My heart goes out to her if she will be held responsible only because we all make mistakes, she's a working slob like the rest of us and could this potentially give her a record?

You are making a lot of assumptions about how this will play out for the travel person.

Based on the information you have provided it would not appear that a criminal act has occured so I do not see this person winding up with a "record".

Could she lose her job because she caused the company alot of financial harm as a result of not following policy? Yes. When people take action and do not follow policy (or common sense) they should not be surprised that there are consequences. That is the way it should be.

If the travel person is indeed an employee of your company and did not follow policy, there should be repercussions as howard noted above.

If the travel person is from an outside trael agency, the company would be well within its rights to claim reimbursement from than agency.

This is how that looming wage and hour claim is going to come about. If the travel person is fired, she's going to make an OT claim.
