How about the following



The XYZ Company would like to thank you for taking the time to visit with the company to discuss the position of ABC.

We have reviewed your fine background and unfortunately have determined that we must look further for an applicant who more closely matches the requirements of our position.

I use a "moving on" letter. Sometimes the hiring process takes longer than expected. I don't want candidates that we know we are not pursuing to be waiting on us. This is what I send:

Dear

Thank you for your interest in the Director of Business Development position we have available at Company name. I enjoyed speaking with you and appreciate the time you spent telling me about your experience.

Although, you have an excellent background we have decided to move forward with candidates that more closely match our needs. Please view our website for upcoming positions at www.com. We wish you the best of luck in your career search.

Here is the form letter we use. I hope you find it helpful.

Dear _________________________

We appreciate your interest in employment with _____________. Thank you for the opportunity to interview with you and to get to know you better. We appreciate the time you took to talk with us and your patience with the hiring process.

We received several impressive applications, including yours. After a thorough review and serious consideration of all the applicants, we have decided that, while your qualifications meet some or many of the requirements, there are other applicants whose qualifications meet or exceed our expectations and who more closely fit our needs.

In the meantime, we will keep your information on file for one year. Please continue to visit our Job Line at _________ and our website (www.______.com) for available positions. Contact us at our email address ______________ if you see a position for which you would like to be considered.

Again, thank you for your interest in working with the ______________.

Our letter simply thanks the candidate for taking time to apply and interview with us for the specific position. However, we have selected a candidate who more closely matches our needs.

I think the letter is fine, but I would respectfully suggest that if you're bringing candidates in for interviews and they're not close to a good fit, then you may want to concentrate on changing the people you have reviewing resumes and conducting initial telephone interviews. That's were it sounds like your system might have a glitch. When you finnaly bring candidates into the office on your nickel, you should have at least one that makes the cut.

Thanks everyone.

We do almost continual hiring for one position in particular, so the position is advertised a couple of times a year. I don't like to tell people we will keep their resume on file, because I know that I am not going to consider them again.

Texasatty hit the nail on the head. I have worked with companies on hiring practices and have been surprised to discover they consider dozens of candidates "a poor fit" when, upon closer examination, the applicants fit the job description perfectly. The fault derived from the way the job description was written and the screening and interview process. Look at the job description in your 'help wanted ad.' Are you correctly describing the candidate you want?

We've run into problems with applicants taking us to task on our use of "impressive background" or "excellent qualifications." If the applicant was impressive and excellent, why didn't we hire them? We keep adjectives out of rejection letters now.
