We have a letter we send out to people that have been to more than one interview, and generally for more office positions than hourly ones. We print it on company letterhead, I sign it, and mail it out. Here it is, and hope this helps! Let me know if you have any more questions, I'm more than happy to help out.

Dear Ms. Doe,

One we just created for those we are not interested in:
Thank you for your interest in employment with Hancock Holding Company. We enjoyed meeting you and appreciate you taking time to interview.
Although you have excellent skills and experience, we do not feel you are the right match for the {Req_TitleFK- />Title_Name} position. Again, we appreciate your interest in opportunities with us, and are hopeful that you will find exciting career opportunities in the very near future. Your application and resume will remain in consideration for future openings. In the meantime, we wish you the best of success in your employment search.
Sincerely,
Human Resources

I think its important to say something to the effect -- "We will retain your information and resume and should something come up that appears to be a better fit, we will be in touch." Gives the applicant the idea they don't have to keep knocking on the door.

Quit allowing a candidate to be left hanging and hoping. Dear Applicant: We thank you for your interest in the position of "manager". Unfortunately, after reviewing your resume/application, we regret to tell you that you will not be considered for the position. NOTE: You must have a reason why they are being selected. Be prepared to tell them the truth....non-discriminatory reasons may not please applicants, but at least they know where they stand. Hope this helps.
