I'm about to start the reference checking process for the HRIS system we are considering. Has anyone put together a guide they would share with me to cover both HR and Technical questions to review with the vendor's current customers.

Below is the list of questions we used when checking references during our selection process 2 years ago. Hope it helps.

1. How large is your organization?

2. How many active employees do you track on your HRIS?

3. Do you have any remote HR users?

4. How much customization did you have in your old system?

5. What other products did you consider?

6. What platform is the new system on? Client/Server? Access database? Oracle?

7. How long did implementation take? Were you able to transfer your history? Any specific challenges?

8. How long have you been on the new system?

9. How do you like the new system?

10. How different is your new system from the one you were on before?

11. Was the provided training adequate? Were there additional things you needed to learn that you werent aware of in the beginning?

12. Comment on customer support. Are they responsive? Helpful?

13. Would you make the same decision knowing what you know now? Are you planning on switching systems in the future?

14. How do you like the reporting capabilities?

15. Are you using the vendors Employee Self Service?

16. Do you outsource payroll? If so, to what company? Are you interfacing HR to payroll?

17. Have you had any data corruption?

18. How much did you pay? (It doesn't hurt to ask!)

19. Have you installed any upgrades yet? If so, how have they gone? Have you done any customization to the new system?

20. Do you know of other companies we could contact who are using or have used this system? (Who may not be happy with it)

21. How do you use the system? Are your users doing reports on a daily basis, as opposed to merely tracking data?

22. What advice can you give us? What would you have done differently?

Can you give me some background on the company in which you are trying to implement - location, size, what you currently have now as an HRIS, degree of e-enablement you are seeking, payroll?, benefits? union/non union? We also have a checklist of federal Record Retention Requirement Guidelines indicating Retention Period and applicable Statute -- this one will require an SASE with $.57 postage
