I am trying to find a calendar year vacation policy.  Does anyone have a sample they can send me.  Thank you.

Calendar year policies are going to be very state dependent since vacation pay rules fall back to state, rather than federal, laws.

if you want to do calendar year with throughout the year accruals, you need to consider what kind of carryover you want to allow. Otherwise, you are going to have most going on the longer vacations towards the end of the calendar year. That might work depending on  your business needs.

We use calendar year but we also give all vacation upfront. If an employee terminates, we have a pro-rated calculation that determines what they would have accrued and payout based on that. If they have used more than they have accrued, we do not try to recover the difference.  At the end of the year, any unused vacation time left is lost unless there are business reasons why it could not have been taken.

(For example, one year we moved offices over the Christmas holidays. Our receptionist and another admin switched off taking holidays. This was the receptionist's year to take Christmas, but she couldn't because one of them had to be at each location. So in that case we let her carryover those days)

Are you in a "use it or lose it" state? If so, I might be able to help with an actual written policy.
