Can someone tell me what information is most commonly documented on a daily travel log when using personal vehicle for work? Should each stop be logged with (or without) odometer readings?

We are in a rural area and employ several Case Workers drive to different homes, schools, etc. throughout each day and we reimburse travel per mile based on mileage forms submitted by the employees & they even document their mileage in different ways. We want more accountability so mileage can't be easily padded, but how much is asking too much?

How much administrative time are you willing to invest to control this? If you want them to log in all stops for example, and the mileage between each one, are you willing to go to google maps or some similar tool to calculate the mileage that should have been charged?

In reality, how big a mileage pad are you worried about and how much are you willing to spend to police this?

Thanks so much for the reply! I actually thought about that as well, because I wondered if they would really be reviewed every month or eventually just get paid and filed as they are now. Of course as soon as our employees got the revised mileage form, they immediately complained about the extra work so I was asked to try to find out what documentation most companies generally required.

Have you had actual problems with padding? The thing about human nature is that the more you try to police something, the more dishonest people will try to work around it and the more honest people will resent it.

If you change a policy, it's important that people know why. When I had to track milage, the biggest problem we had was that the sales force used their expense accounts like savings accounts, they would only turn them in when they needed money. We had to begin enforcing deadlines and they thought we were accusing them of being dishonest but we had to explain that the real reason was because we had no idea how to budget for their needs because they didn't turn in their August receipts until December.
