Tracking Employee vacation accrual

Right now, my company "posts" vacation once per year. This means, all employees get their lump sum of vacation on Jan. 1.
I would like to switch to an accrual system and calculate accruals on a monthly basis. I can not fit an HRIS vacation calculating/tracking system into my budget, but I need a better and quicker way to do this than on paper. Does anyone have a spreadsheet of some sort they have developed to track vacation accrual for employees? This would be a great time-saver for me and a life saver for my payroll dept.

Appreciate any help you can offer.

I'm sorry I don't have an answer for you but I do have a question if you don't mind sharing... I am trying to switch my small (16 employee) company over to accrued vacation or at minimum, vacation based on anniversary date rather than giving all employees vacation as of Jan. 1. Mind sharing how you actually did/will do your conversion? Since our people have taken all their vacation this year (some more than what they've ACTUALLY earned), I'm not sure how to switch them over to the new system.

In any conversion which affects employee vacation/benefits, you want to make sure the employee gets the best end of the deal. For example, make sure if you do switch that the employee does not feel slighted because they cannot take vacation until they have earned it. I wish I had an answer as to the best way to do this, but I don't.

Do you outsource your payroll, and if so, do they have an affordable benefits accrual system you can use? We do ours this way, accruing on a per-payperiod basis.

I'm not a spreadsheet expert, and I don't have a sample for you, but I would think given a basic understanding of what an HRIS system does, you could put something together. Depending on what rate the person accrues at, the system we use adds that amount to their 'bank' each payperiod, and subtracts amounts as they are used. Can you set up a spreadsheet to automatically credit monthly accruals into their time bank? Or perhaps you would need to copy and paste the figures in manually. As each person uses vacation, you subtract that amount from their running total. Depending on the size of your organization, this could be a very time consuming process. However it could be maintained rather simply.

I have created a reliable benefits accrual tracking process using Microsoft Access. It performs the accruals, enforces accrual caps and reports available balances. Also, many of the time clock manufacturers now included accrual tracking features in their attendance systems.

We outsource our payroll to ADP and they have the ability to accrue vacation each pay period. We parallel this with a manual spreadsheet to track time used and update it by cut and past of prior end of period to beginning of next. The ss then calculates accrual and by entering time taken we have a very accurate system.
If you are going from a different method to accrual, I would first educate the employees that this is going to occur and specify a conversion date. At the time of switch you will enter the balance as of that date as the starting balance and begin accrual at that point. It will require educating the employees and some will not be happy if they have a habit of taking vacation early in the year under this system, they will not have accrued it yet. You may need to grant them the ability to borrow up to X hours (going negative)during the first few months of the conversion. Once you are part way through the year it should resolve itself. In addition, you will need to consider the maximum carryover you will permit each year.
We have a 90 day probationary period before any new hires become eligible. Once they become eligible to accrue they can start utilizing the time they earn. Our staff love it.
