We also use not only electronic files, but electronic signatures. You should note that the earlier comment about a 'scanned image of your actual signature' - sure it looks like your signature, it is not legally binding unless you have also agreed to a policy that states how and when that image can be applied to a contract or binding document. We developed a complete new hire document application that we use electronic signatures for every new hire file, both on the HR side and the employee. There are some very specific laws that you must be certain you (or your software vendor) adheres to in order for any of those types of files to hold up in a lawsuit. First, I would suggest taking a look at the federal eSIGN policy, since the IRS was the first to use the technology, and it is now a common set of rules to follow when moving to electronic storage and signature of documents.

Other than my last job, every company I've worked for over the last 10 years has had electronic files for everything. FileNet has a good solution, not that I'm advocating them. FedEx has been using electronic files for way more than 10 years so there are early adopters that made it easier for everyone. We have an electronic signature policy here that I will send you if I can find it. I know our policy for storing, security, access, archiving is exactly the same as it would be with paper files. And the electronic version is separated the same way a paper file would be.

My company is now looking at converting to electronic files. Can anyone recommend any software that you've used for this? No vendors please.
