I need your opinions on a tough situation. My co-worker who is also a friend after 10 years of working together , paid for something yesterday with a company debit card. It was a $7 dollar purchase. She has access to thousands of dollars worth of these debit cards (they are for a promotion) and told me last week that they are "extra" and not being tracked by the vendor who provided them. I cannot figure out why she would have one for personal use.

I am really struggling with this one. I do not believe in stealing from the company no matter how small.

I plan to ask her about it at lunch today, but I don't think there is going to be a reasonable explanation. If she admits to taking the card, what would you do?

Are you in management abd/or HR? If yes to either/both, then you must report your friend to senior management or risk being fired yourself when she's eventually caught.

That was my first thought, but I know I can be a little insensitive about following the rules. I'm going to go to my boss and put the matter in his hands and hope for the best.

You're "insensitive about following the rules"? What the heck does THAT mean?

If your company has a compliance/ethics hotline you could report the issue there instead of to your management directly. Some of these hotlines are set up so that you can do it anonomously. This way you will still be reporting the alleged offense in keeping with company policy.

Hrbth, what I meant by "insensitive about following the rules" is that because I can be so rules oriented, I might not put the friendship first and others would criticize me for not doing that.

It all worked out by the way...I asked my friend directly and she had a paper-trail to show why she did have a legitimate reason to have the card. I just wish she would have told me up front when she used the card in my presence.

I think the first and best thing to do is have a talk with your friend. After 10 years, she deserves that from you before you go running off to report her. At least you will have all the facts. I'm sure I have a pen or a pad from my job sitting on my kitchen countertop. Not that I am advocating taking ANYTHING that belongs to the company, please don't misunderstand me. I'm just saying that before you potentially end her employment (or advancement) over $7, give her the opportunity to correct the situation or at least explain it clearly.

on issues like this, you should ask questions before reporting your friend to the management just to show you care. Even if he's not your friend, management will not take rumor, they need fact that you can defend if needs call for it.

Thank God, u dont loose your friend!
