The following is an excerpt from our larger technology policy and is in draft stage, nearly ready to implement. So use it at your peril! :0
Social Networks
A social network is a web-based service that provides ways for users to interact by (1) constructing a public or semi-public profile within a bounded system, (2) articulating a list of other users with whom they share a connection, and (3) viewing and traversing their list of connections and those made by others within the system. The nature and nomenclature of these connections may vary from site to site.
The use of social networks such as Facebook, Twitter, and MySpace (to name a few), are becoming common links to many people The Company serves as clients, donors and prospective donors. It is necessary to provide policy to guide staff in the use of these sites while an employee of The Company.
If you are using social network sites during business hours you must keep in mind the technology policies that are already in place.
All social networks require a user profile. Each site has terms and conditions that must be followed. The terms and conditions require that you set up a real profile (not use a pseudonym or alias names).
If in your profile you identify yourself as working for The Company you and your actions and or written words will reflect on The Company. You will be responsible to represent The Company in a professional manner. This includes but is not limited to:
⢠All personal blogs and other posts must contain disclaimers that make it clear that the opinions expressed are solely those of the author and do not represent the views of The Company. The exception to this rule is if you have been asked to post something that has been vetted by Senior Management and/or approved by the Executive Director;
⢠Any contact with clients can not breach the oath of confidentiality that all employees have signed;
⢠Proprietary information is not to be discussed or referred to on such sites, even in private messages between site members who have authorized access to the information. Propriety information includes, but is not limited to, companyâs financial information, intellectual property, and information about clients. If you have a specific question regarding something you want to discuss online and are not sure if it falls into this arena you must talk with a member of Senior Management and or the Executive Director prior to any posting;
⢠Do not mix business with your out of work activities;
⢠Never post anything (written or visual) when youâre inebriated. Being under the influence of strong emotions, such as anger, fear, or grief, or suffering from lack of sleep can similarly impair your judgment and cause you to post things you otherwise wouldnât.
The permission for this utilization does not allow any inappropriate usage of these resources. The Company will determine what is inappropriate in its sole and arbitrary discretion. Any employee determined to be utilizing these resources in such a manner will be subject to discipline up to and including termination.
