We regularly hire candidates across the country. Paperwork is overnighted back and forth between us and the candidate, we require degree verifications, physical/drug screen and reference checks. Once those parts are complete, several departments set up computer access, cell phones, email, ship supplies, account lists, etc. Basically, we have a full onboarding checklist in place to make sure when the candidate starts, they have everything they need to begin their career on the right foot. This process generally takes two weeks from the time the offer is sent to start date. Recently, some managers are questioning this two week timeline and "do we really need to wait for all this to be done"? Is two weeks an unrealistic amount of time for processing a new hire?

KM- Not sure I really understand the question from the hiring managers. Are they asking if, once the offer is accepted, why can't the person start tomorrow? If that is the question, the only real barrier is whether or not the person is available immediately. If the person is working, they will need to give notice and that alone can take two weeks.

If the person is immediately available, you can have all the releases signed at offer acceptance and let them start to work subject to their successfully passing all the requirements. As long as the new hire knows that there is a risk, and the new hire is willing to take that risk, then you should be ok.

The only tight deadline is the 3 day I-9 completion rule.

Two weeks sounds reasonable to me. My guess is that it is standard.

It sounds like you are talking about two different things that need to take place in that period, one is the hiring paperwork and the other is setting everything up so the new enployee can be productive. You can't shorten the first part but maybe you can shorten the second part if they don't mind waiting a few days to get computer access, etc. - but it is not a best practice.

People like to start a new job ready to go to work so making sure they have everything they need on day 1 is a key practice. But some best practices are less critical than we think they are. Find out why people are questioning the timeline and what kinds of compromises you can make.

Like many things in life I would say "it depends."

It appears the only reason it takes 2-weeks is because your process says it must. If that is the case then your process needs to be fixed to allow for flexibility.

Take a look at each step on your check list. Identify the ones that are taking the most time and start working on ways to improve - eg, better internal processes, more responsive vendors, etc.

Just the part about "overnighting" the new hire docs seems a costly and time consuming method when there are so many web based new hire document systems out there.
