We are beginning the process to move to electronic personnel files. We already have document storage software and equipment, but we are struggling with the best way to structure the files. Has anyone else implemented electronic employee files, and if so, what issues have you encountered and how did you structure the filing system.

Go back to your current HR software vendor. Does your exisiting Human Resources Management System have the ability to store or link to any electronic file or documentation?

I would start there. I have seen HRMS solution that allow you to categorize and store electronic files as they relate to a particular employee's record.

This will allow you to capture all electronic documents in a centralized database. It certainly allows you to go to one common area to capture and review files.

Obviously, this tip doesn't apply if your exisiting vendor doesn't offer such a feature.
