Can anyone help me with "what records need to be kept for learning and development"? and "why do we keep records and how should we maintain current learning and development records", I am doing an assignment and am a bit stuck.

You need to keep records to support any legal issues that may site a lack of training or not being properly trained,succession training,staff development etc. You can use the HRIS system you have to download the names of the employees of your organization.Make sure your data base contain name,entry date and all the modules you offer and the capablilty to add or delete this info. Always use a back up system "old fashion rosters that verify attendance. If additional info is needed please post. |

Ha! I happen to have this hanging on my wall! As a practitioner, I need to remind myself to update and format all information regarding our programs to fit all of these purposes:
1)to help design new programs (good to know what you have or have had going on and who attended) 2)for continuous process improvement and strategic planning (good to know which populations you can contact for outcomes) 3)to be accountable to stakeholders (this includes learners, program sponsors, senior leaders, etc) 4)for marketing and communication 5)for accredidation and/or compliance if that applies (i.e. licensure, academic credits, grant/loan applications, other business purposes, etc.) 6)for schorlarly work, again if that applies, to increase the collective knowledge of your particular industry/field I'm sure you can think of others, but you get the idea that good record keeping is a good idea for reasons beyond legal defense (of course that's a big one too!) |

IHouston, you are right on the money with recommending "old fashioned" rosters, I wish we did that where I work. We have an IT system for couses that are accredited, but informal learning sessions are not tracked that way. Some directors use a sign in sheet and others don't, some keep these on file fopr several years and some don't. There is no requirement, but I can testify that those who do get much better service all around. |

everything, needs assessment data, costs, dates, hours, attendance records, list of faculty, faculty bios, evaluation scores and the hard copies of evaluation data (i.e raw data listed by cases so you can do a variety of inquiries), pre-tests, descriptives of attendees - any information gleened from your programs, record it, label it clearly, and store it in such a way that it can be accessed in good order.
Form follows function, go through all the reasons listed above and brainstorm what information is neeeded for each purpose. That way you can prioritize - it's hard to track all this information so it may be best to do it strategically. |

Though I do keep more than what I'm about to list (for all the reasons already listed by others), here is what my official go-to records hold: employee name; course title; completion date; internal instructor name or supplier company name; duration; test results if tests used; specific learning objectives. I have been at this for over 25 years. Every auditor encountered has been satisfied with these basics. |

These are some of the ways for keeping record for training and development. Regulation 7 states that you must provide the following on request: • A description of the activity • The organization presenting the activity • The date of the activity • The number of hours |
